Key in the number of FT and PT employees across your entire organization, including all locations 
Average Annual Salary per Employee
Enter the average annual salary per employee, including all FT and PT, salaried and hourly 
Total Annual Payroll
This field is auto-calculated based on the total Number of Employees times the Average Annual Salary per Employee  
Software cost per employee
Most vendors charge you a per employee rate for their software license, please enter the per employee cost here (not including maintenance, support or implementation fees) 
Annual Maintenance
Most vendors will charge you an annual maintenance that is based on a percentage of the total license cost, please enter a percentage amount here, depending on the vendor and level of support, this can vary from 12% to 24% 
Implementation Consulting
Usually, the vendor's professional services team (or a third party consulting team) will provide an estimate on the fees to implement the solution. Make sure you have an estimate for the entire deployment, not just the pilot. Of course, an exact figure might be difficult but a high-level estimate is not unreasonable to ask for. 
Training
Consider the costs of sending your people to training classes or having in house training, including travel and other expenses 
Time Clocks
If you will be purchasing time clocks (also known as punch clocks, terminals, etc.) enter the full amount of the punch clocks here. 
Internal Resources
Most people forget to include the cost of their own resources which must be on the project. As a general rule, this is almost the same as the fees you will pay for implementation services form the vendor or third party
